The Clerk’s Office of the United States District Court for the District of Oregon is now accepting applications for the position of Courtroom Deputy Clerk in the Portland Division. As a member of the case management team, the Courtroom Deputy Clerk functions in an administrative capacity managing cases for judges and providing courtroom services.

Representative Duties

Responsibilities of this position may include but are not limited to the following:

  • Attends court proceedings. Assists with the orderly flow of proceedings, including but not limited to setting up the courtroom, ensuring the presence of all necessary participants, managing exhibits, operating electronic recording equipment, and preparing logs of recordings. Takes notes of proceedings and rulings and prepares minute entries in CM/ECF.
  • Drafts judgments for the judge's approval.
  • Conducts training sessions for litigants and counsel in the use of courtroom technology and initiates and tests the Court's digital evidence presentation system.
  • Keeps judges and chambers staff informed of case Schedules court reporters and interpreters and informs the jury clerk of upcoming trial status and juror needs.
  • Reviews cases and reports for necessary action. Assists in the accurate, statistical reporting requirements of the Administrative Ensures all automated entries are appropriately linked for proper case management.
  • Acts as a liaison with the Clerk’s Office, the bar, the public, judges, and other governmental agencies to ensure that cases proceed smoothly and efficiently.
  • Assists the judge and parties in jury selection and completes juror records and attendance reports. Maintains contact with counsel during jury deliberations, acts as sworn bailiff for trials, and maintains accurate and organized exhibits for all court proceedings.
  • Manages cases for judges by calendaring and regulating case movement; monitors the filing of documents and responses to judicial orders; and sets hearings, trials, and conferences.
  • Serves as a primary source of information regarding court proceedings, schedules, and court procedures for the assigned judge.
  • Performs data quality control of all documents and proceedings on the docket and assists in case management by ensuring that all automated entries are appropriately linked for proper case management.
  • Performs case administration duties, including docketing orders, pleadings, judgments, and minutes, opening cases upon receipt of initiating documents, processing and distributing criminal complaints, arrest warrants, and search and seizure warrants, randomly assigning case numbers and case assignments to judges, closing cases upon receipt of terminating documents, such as judgments, mandates and closing orders.

Salary Range

This position is classified at CL 26 ($56,828- $92,340) to a CL 27 ($62,422 - $101,477) depending upon the qualifications and experience of the successful candidate. A CL 26 has possible promotional opportunity to a CL 27 without further competition.

Qualifications

Minimum Qualifications

To be eligible for appointment at CL 26, a candidate must possess a minimum of one year of specialized experience. To be eligible for appointment at CL 27, a candidate must possess two years of specialized experience.

Specialized experience is progressively responsible clerical or administrative experience requiring the regular and recurring application of clerical procedures that demonstrate the ability to apply a body of rules, regulations, directives, or laws and involve the routine use of specialized terminology and automated software and equipment for word processing, data entry, or report generation. Such experience is commonly encountered in law firms, legal counsel offices, banking and credit firms, educational institutions, social service organizations, insurance companies, real estate and title offices, and corporate headquarters or human resources/payroll operations.

Desired Qualifications

Two or more years of courtroom experience at a state or federal court; experience in the federal judicial system and/or with electronic case filing system (CM/ECF), and knowledge of legal terminology, processes, and courtroom procedures.

Candidates must also demonstrate:

  • A consistent past employment record;
  • Experience in dealing with routine and complex assignments;
  • Excellent typing and proofreading skills;
  • A demonstrated ability to think through, analyze, and interpret written communications;
  • Ability to prioritize tasks and work assignments;
